Shipping & Returns Policy

Please review the following shipping, receiving, return, and Return Material Authorization policies before placing an order or returning any product, component, or part to US Solar Mounts Corp.

General Shipping Policies

US Solar Mounts Corp (“USSM”) ships products using carriers and shipping methods selected by USSM based on product type, order size, destination, carrier availability, and other relevant shipping considerations. Shipping charges, delivery services, freight charges, accessorial charges, and related costs are the responsibility of the customer unless otherwise stated in writing by USSM.

Shipping dates, delivery dates, transit times, and carrier estimates are provided for convenience only and are not guaranteed by USSM. Delays caused by carriers, weather, freight terminals, customer availability, incorrect delivery information, remote delivery locations, missed delivery appointments, or other circumstances beyond the control of USSM are not the responsibility of USSM.

USSM reserves the right to determine the appropriate shipping method, packaging method, carrier, freight class, shipment configuration, and delivery requirements for any order.

Freight and LTL Shipments

Some products may ship by freight carrier, less-than-truckload (LTL) carrier, or other specialized delivery service. Freight shipments may require delivery appointments, commercial delivery access, liftgate service, forklift access, loading dock access, or other delivery accommodations depending on the shipment and destination.

Additional charges may apply for residential delivery, liftgate service, limited-access delivery, re-delivery, storage, missed appointments, address corrections, inside delivery, remote area delivery, or other carrier-assessed services or fees.

The customer is responsible for ensuring that the delivery location is accessible, that an authorized person is available to receive the shipment, and that the shipment can be safely unloaded at the delivery location.

International Shipments

For small international shipments, such as replacement parts or other parcel-sized items, USSM may, at its discretion, ship by FedEx, UPS, or another parcel carrier selected or approved by USSM.

For larger products, systems, assemblies, or other items requiring freight shipment outside the United States, the customer is responsible for arranging all international freight, shipping, export, import, customs, brokerage, delivery, and related logistics unless otherwise expressly agreed in writing by USSM.

For customer-arranged international freight shipments, the customer is responsible for selecting the freight forwarder, carrier, customs broker, delivery method, delivery destination, and all related shipment arrangements. The customer is also responsible for all freight charges, shipping charges, duties, tariffs, taxes, import fees, export fees, brokerage fees, customs charges, storage charges, accessorial charges, documentation charges, delivery charges, and any other cost, fee, tax, duty, or charge associated with the international shipment.

USSM is not responsible for delays, loss, damage, customs clearance issues, import restrictions, export restrictions, duties, tariffs, taxes, brokerage issues, freight-forwarder issues, carrier issues, delivery issues, abandoned shipments, refused shipments, or other costs or problems arising from or related to customer-arranged international freight shipments.

Customer is responsible for determining whether any product may lawfully be imported into the destination country and for complying with all applicable import, export, customs, tax, regulatory, documentation, certification, and delivery requirements.

Receiving and Inspection

Customer is responsible for inspecting all shipments at delivery. Damage, shortage, or concealed damage should be reported to USSM immediately and documented with photographs and carrier delivery notes.

Before accepting delivery, the customer should inspect the shipment for visible damage, missing items, damaged packaging, punctures, crushed areas, broken pallets, wet packaging, torn shrink wrap, loose components, or other signs of possible shipping damage.

Any visible damage or shortage should be clearly noted on the carrier delivery receipt, bill of lading, electronic delivery record, or other carrier documentation before signing for the shipment. If the carrier will not allow proper notation of damage or shortage, the customer should document the condition with photographs and contact USSM immediately.

Signing for a shipment without noting visible damage or shortage may limit or prevent recovery from the carrier and may affect the ability of USSM to assist with a shipping damage claim.

Shipping Damage

Shipping damage must be reported to USSM as soon as possible after delivery. The customer should retain all packaging materials, pallets, cartons, straps, labels, and damaged items until the shipment has been reviewed and USSM or the carrier has provided further instructions.

Photographs should be taken of the exterior packaging, shipping labels, pallet condition, visible damage, damaged product, and any relevant carrier paperwork. Concealed damage discovered after delivery should be reported immediately and documented before the product is installed, used, repaired, discarded, or repackaged.

USSM may request photographs, delivery documents, carrier documents, inspection reports, serial numbers, product information, or other documentation necessary to evaluate shipping damage or assist with a carrier claim.

Order Cancellation

Order cancellation requests must be submitted to USSM as soon as possible. Cancellation is not guaranteed once an order has been processed, prepared for shipment, packaged, scheduled with a carrier, shipped, custom-built, special-ordered, or otherwise entered into fulfillment.

Approved cancellations may be subject to a twenty percent (20%) cancellation or restocking fee, as well as any shipping, freight, packaging, payment-processing, special-order, custom-product, or other costs incurred by USSM before cancellation.

USSM reserves the right to deny cancellation of any order that has already shipped, has been specially manufactured, has been custom configured, has been specially ordered, or cannot be cancelled without cost or loss to USSM.

Returns

Returns are accepted only when approved in advance by USSM and only when a valid Return Material Authorization (RMA) has been issued by USSM. Products returned without an authorized RMA may be refused, returned to sender, or held pending receipt of required information.

Returnable products must be new, unused, uninstalled, undamaged, complete, and in original packaging unless otherwise authorized in writing by USSM. Returned products must include all supplied parts, components, hardware, accessories, manuals, labels, and packaging materials originally included with the product.

Approved returns are subject to a twenty percent (20%) restocking fee. The customer is responsible for return shipping, freight charges, insurance, proper packaging, and any damage that occurs during return shipment unless otherwise expressly agreed in writing by USSM.

Refunds or credits, if any, will be determined by USSM after the returned product has been received, inspected, and accepted by USSM. Original shipping, freight, handling, payment-processing, special-order, and other non-product charges may be non-refundable.

Non-Returnable Items

Certain products and items may be non-returnable, including but not limited to used products, installed products, damaged products, incomplete products, custom products, special-order products, modified products, electrical components, opened or used service parts, products not in original packaging, products damaged after delivery, and products that cannot be resold as new.

USSM reserves the right to determine whether any product is eligible for return and whether any returned product is in acceptable condition for refund, credit, exchange, repair evaluation, or other disposition.

RMA Required Before Return

No product, component, or part may be returned to USSM unless a valid Return Material Authorization (RMA) has been issued by USSM.

To request authorization before sending any product, component, or part to USSM, complete the RMA Request Form. Submission of the RMA Request Form does not constitute approval of warranty coverage, return authorization, repair, replacement, refund, exchange, or credit.

Products or components returned without an authorized RMA may be refused, returned to sender, or held pending receipt of required information. Returned items must be properly packaged, reasonably clean, dry, and free of hazardous substances, biological contamination, pond debris, sludge, chemicals, or unsafe material.

The RMA number should be clearly marked on the outside of the return package and included with any return documentation. The customer is responsible for proper packaging and for protecting returned products from damage during shipment.

Advance Replacement Parts

If USSM ships replacement parts, components, or products before warranty evaluation is complete, the customer will be charged for the advance replacement parts, components, products, shipping, freight, and related costs.

Credit, if any is due, will be issued only after USSM receives and evaluates the original part, component, or product requested for return. Any credit will be determined by USSM based on the applicable warranty terms, the condition of the returned item, the cause of failure, and whether the returned item is eligible for warranty coverage.

If the original part, component, or product is not returned, is returned late, is returned damaged due to improper packaging or shipment, is returned incomplete, or is returned in a condition that prevents evaluation, USSM may deny credit or issue only partial credit, as determined by USSM.

Warranty Claims

Warranty claims are handled under the US Solar Mounts Corp Limited Product Warranty and must be submitted according to the warranty claim procedure stated in that warranty. An RMA may be required before any product, component, or part is returned for warranty evaluation.

A Return Material Authorization is not an approval of warranty coverage. Warranty eligibility, repair, replacement, credit, or other remedy, if any, will be determined by USSM after review of the information provided, supporting documentation, troubleshooting results, and any returned products or components requested by USSM.

Customers should review the Limited Product Warranty before submitting a warranty claim or requesting return authorization for warranty evaluation.

Shipping Restrictions and Order Review

USSM reserves the right, to the fullest extent permitted by applicable law, to refuse or cancel any order, decline any sale, refuse shipment, or refuse service to any person, entity, or destination where USSM determines that the transaction presents legal, regulatory, payment, fraud, logistics, safety, commercial, reputational, or other business risk.

USSM may require additional information before accepting, processing, shipping, or completing any order. Orders may be delayed, refused, or cancelled if required information is not provided, if payment cannot be verified, if the destination cannot be serviced, or if USSM determines that the order presents unacceptable risk.
